Privacy Policy
Last updated: October 15, 2026
This Privacy Policy describes how Hawk Ranch ("Hawk Ranch," "we," "us," or "our") collects, uses, and protects information when you inquire about, book, or attend a wedding, private event, farm tour, wellness retreat, or overnight stay at our 40-acre property in Murrieta, California. We do not sell personal information for money. With your permission, we share browser and visit information with analytics and advertising providers as described below.
1. Information We Collect
1.1 Booking & Contact Information
When you inquire about or book an event, tour, retreat, or stay, we collect the name, email address, and (where provided) phone number of the person booking, their planner, and anyone else designated as a contact on the booking. We use this to coordinate your visit or event, send confirmations and receipts, and answer your questions.
1.2 Guest List & RSVP Information
If you use our RSVP tool to invite guests to your wedding website, we store the names, attendance status, meal choices, and any notes your guests submit when they RSVP. This information is provided by your guests directly and is used to help you and our team plan catering, seating, and logistics.
1.3 Event & Booking Details
We store the details of your booking — date, guest count, the spaces or packages selected, your event schedule, and any notes or documents (contracts, proposals, floor plans) associated with it.
1.4 Payment Information
Payments are processed by Stripe. Your card or bank account number is entered directly with Stripe and is never stored on or visible to Hawk Ranch's systems. We retain only what we need to manage your booking — for example, payment status and a Stripe reference.
1.5 Messages & Communications
When you email us, message us through your wedding website or guest portal, or call our office, we store that communication so our team can respond and keep your history available to you.
1.6 Automatically Collected Information
We collect standard request logs (IP address, device/browser type, timestamp, and the action requested) for security, debugging, and abuse prevention. Optional tools from Google Analytics, Google Ads, Meta, and GoHighLevel receive browser identifiers, IP addresses, page visits, and conversion information when you allow optional tracking. We also send hashed email addresses and phone numbers to Meta to match inquiries and purchases with ads. Hashing changes the format but still lets Meta match you. We use these tools to measure visits and advertising. They stay off until you allow them. Global Privacy Control and our Do Not Sell or Share control override that choice.
2. How We Use Your Information
- Plan and run your wedding, event, farm tour, retreat, or stay booking.
- Process payments and deposits through Stripe.
- Send transactional messages — booking confirmations, payment receipts, RSVP confirmations, and reminders.
- With your ability to opt out at any time, send occasional post-event thank-you notes and review requests.
- Respond to your questions and provide customer support.
- Keep our systems reliable and secure, and prevent fraud or abuse.
- Comply with applicable legal obligations.
4. Data Retention
We retain personal information only as long as needed for the purposes described in this Policy, then delete or de-identify it. Our standard retention practices by category:
- Booking, contract & payment records — retained for the life of your booking and for up to seven years afterward, as required for tax, accounting, and dispute-resolution purposes.
- Guest list & RSVP information — retained through your event and for a reasonable period afterward for planning records, then deleted or de-identified; deleted earlier on request.
- Messages & correspondence — retained while your booking relationship is active and for a reasonable period after the last activity.
- Request logs (IP address, device, timestamps) — short-lived; retained only briefly for security and debugging.
- Opt-out and unsubscribe records — retained as long as necessary to honor your preferences.
If you ask us to delete your information, we will do so within a reasonable time, except where we are required to retain it for legal or accounting reasons.
5. Your Privacy Rights & Categories of Personal Information
Depending on where you live — including under the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA) — you may have the right to know what personal information we've collected about you, to request a copy of it, to request that we correct or delete it, and to opt out of certain uses. To exercise any of these rights, or to ask a question about your data, email contact@hawkranch.co. We will respond within the time required by law and will not discriminate against you for exercising your privacy rights.
In the preceding twelve months, we have collected the following categories of personal information as defined by the CCPA/CPRA:
| Category | Examples we collect | Source & purpose |
|---|---|---|
| Identifiers | Name, email address, phone number, IP address | Provided by you or your guests; used for bookings, communication, and security. Disclosed to our service providers (§3). |
| Customer records | Booking contact details and payment status (card numbers are held by Stripe, never by us) | Provided by you; used to manage and bill your booking. Disclosed to Stripe and our database provider. |
| Commercial information | Booking history, packages and services purchased | Generated by your bookings; used to provide our services and support. |
| Internet or network activity | Request logs: IP address, browser type, pages requested, timestamps | Essential request logs support security and debugging. Optional analytics and advertising data is collected only with permission. |
| Audio/visual information | Photos and video taken at events and tours on our property | Captured on-site; used for our own marketing as described in our Terms of Service, with an opt-out available. |
We do not sell personal information for money. Advertising providers may use information for cross-context behavioral advertising. You can use Do Not Sell or Share My Personal Information or Privacy choices in the footer. We honor Global Privacy Control. Your choice applies to this browser across our hawkranch.co website and booking subdomains. Declining optional tracking does not prevent booking.
6. Email & Text Message Preferences
Every marketing, thank-you, or review-request email we send includes an unsubscribe link. Opting out stops those emails, but does not affect transactional messages tied directly to your booking (confirmations, receipts, RSVP notices) — those continue so you stay informed about your own event.
If you provide a mobile number, we may send text messages directly related to your booking, such as confirmations and reminders. We will send marketing text messages only with your prior express written consent, which you may revoke at any time — and consenting to marketing texts is never a condition of booking or purchase. Message frequency varies and message & data rates may apply. We do not share your mobile opt-in information or SMS consent with third parties or affiliates for their own marketing or promotional purposes. Reply STOP to any text to unsubscribe, or HELP for assistance. You can also email contact@hawkranch.co at any time to update your preferences.
SMS opt-in information and text-message consent are not shared with third parties or affiliates for marketing or promotional purposes. Giving SMS consent does not authorize advertising matching. Separately, when you independently allow optional advertising matching, we may share hashed email addresses and phone numbers with Meta as described in this policy. Declining that separate permission does not prevent an inquiry or booking.
7. Children's Information
Our website and services are not directed to children under 13, we do not knowingly collect personal information directly from children, and we do not offer accounts to children. A wedding or event guest list may include the names of children (for example, flower girls, ring bearers, or young guests noted for meal planning) — this information is provided by the adult booking the event or submitting an RSVP on a child's behalf, and is used solely for event planning: headcounts, seating, and meals.
8. Security
We protect your information using industry-standard practices, including encryption in transit, encryption at rest in our database, access controls scoped to each booking, and least-privilege access for our team. No system is perfectly secure; in the event of a security breach affecting your unencrypted personal information, we will notify affected California residents without unreasonable delay, consistent with California Civil Code §1798.82, and will comply with all other applicable breach-notification laws.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last Updated" date above reflects the most recent revision.
10. Contact Us
If you have any questions regarding this privacy policy, you may contact us via our Plan Your Visit page, by phone or text at 951-574-0004, or by emailing contact@hawkranch.co.
